Mail Services

In keeping with our goal of providing the best possible mail service to all employees and students of the college, we are publishing this information for you to use as a reference. It contains information about our services, as well as our policies and procedures. The operational policies and procedures we have designed help us process all of the college mail in an efficient and timely manner. We hope that you will find this information useful.

On this page, you will find mail delivery schedules and suggestions that will allow us to provide effective mail service to the community.

On Campus Daily Pickup and Delivery Schedule:
The morning mail delivery begins at 10:30 AM.
The afternoon mail delivery begins at 2:00 PM.

When planning a large mailing, (75 pieces or more) please notify the mailroom at least 24 hours in advance of the scheduled pickup. We can offer assistance by delivering either letter trays or postal bins the day before your larger mailing.

Procedures for outgoing U.S. Postal Mail

1. Departmental Return Address Policy:
The department’s name should always be visible in the top left corner of all envelopes and packages.  In the event that the item is returned by the U.S. Postal Service, (and we do get many returns) we have no way of identifying which department originally sent the item out. Therefore, we have no way of knowing which department to return the item to. Suggestion: If you don’t have imprinted envelopes that display your department’s name, get a stamp made with your department’s name and stamp all outgoing envelopes.

2. Use of Departmental green pick up bags:
To prevent mail from being misplaced, place all mail available for pickup in your department’s mail pickup bag.  Caution: Do not overload these mailbags. They are made of nylon and they will rip. If you have more than two pieces of outgoing mail, please use elastics to separate them from the on campus mail.    

3. Separation of domestic and international mail:
All domestic mail and international mail must be separated.  Please use elastics to separate various types of mail.

4. Procedures for large mailings:
All large mailings (75 pieces or more) should be put in mail trays or bins with the international mail clearly marked.  If we are notified in advance, the mail services department will be happy to provide you with the mail trays or bins so that we can transport the mailing without damaging the envelopes. Suggestion: If you use Banner, Excel or Word to label your envelopes, sort by zip code. This way, all of  the international mail will appear at the end of the mailing. They can then be easily separated from the domestic mail using elastics.

5. Preparing your envelopes for mailing:
We suggest that you seal all of your envelopes; However, if you choose not to, we ask that you “fan” all of the flaps and put elastics around the envelopes. Fanning the envelopes is the process where you insert the flap of one envelope into the flap of the previous envelope. We have to feed these letters through a sealing machine.  If the flaps are not fanned, they will not seal. Use elastics to secure them into small groups of approximately 25 envelopes.

6. Inserting material into the envelope:
Please do not overstuff your envelopes. Just because we can fit a large amount of paper in the envelope, it doesn’t mean the envelope will close properly in the sealing machine.

7. U.S. Postal Service pickup:
Outgoing mail is picked up by the U.S. Postal Service at 4:00 PM Monday through Friday.

Procedures for Inter-Campus mail

1. Use of Inter-office envelopes:
All inter-campus mail must be placed in a properly addressed inter-office envelope. These envelopes are available from the Mail Services staff who pick up and deliver to each department. Inter-office envelopes should not be given or addressed directly to students. The envelopes are designed for multiple use and the students will not return them. Please use regular (# 10) envelopes for student mail with their name and mailbox number as the address.  

2. Addressing inter-office envelopes:
When addressing inter-office envelopes, please be sure to use all five of the address blocks.  Filling the address section out properly will help us expedite the mail to be delivered to the proper location.  Please do not skip lines.  Simply cross out the previous address and fill in the next line.

3. Student mailbox numbers:
Please address resident student correspondence to the student mailbox numbers not post office boxes. The referral to a post office box number is an indication of an off-campus U.S. Postal Service address and could result in the mail being sent off-campus.  Resident student mailbox information is available by calling Mail Services at Ext. 2179.  It is also available in Banner.

Other Services Available

1. Certified Mail:  Gives the sender verification of delivery through a signed receipt.

2. Express Mail: Next day delivery with a noontime delivery commitment.

3. Insured Mail: Gives the sender the option of insuring a package for a specific dollar amount.

4. Priority Mail: Mail with a two-day commitment time.

5. Stamps: Stamps are available at the Mail Services window for either an individual purchase or through purchase of a book of stamps.

6. Notary Public: Faculty and staff members may have their personal or business related documents notarized by producing proper   identification and signing the document in front of the Notary. Please call the mailroom on Ext. 2179 to make an appointment for this service.

These guidelines are designed to help us expedite your mail deliveries. We are always open to suggestions as to how we can better serve the Curry community. The Mail Services Department goal is to be an invisible, yet significant force on campus.  We understand that you have many other concerns and responsibilities in your day to day lives.  Mail delivery should not be one of them. We ask that you help us complete our mission and contribute to the success of Curry College.
